Executive Assistant

Midshifts is seeking an Executive Assistant to provide high-level administrative and operational support to a growing U.S.-based client. Working directly with executives and leadership teams, you’ll help keep daily operations running smoothly by managing schedules, coordinating communications, and ensuring priorities stay on track. This is a remote-first opportunity for an organized, proactive professional who thrives in a fast-paced environment and enjoys being the backbone of a productive team.

What Your Days Will Look Like

Calendar & Schedule Management: Coordinate executive calendars, schedule meetings, manage appointments, and resolve scheduling conflicts across multiple time zones.

Email & Communication Management: Organize inboxes, prioritize correspondence, draft professional emails, and ensure important communications are handled promptly.

Meeting Coordination: Prepare meeting agendas, take detailed meeting notes, track action items, and follow up with stakeholders to ensure deadlines are met.

Administrative Support: Create presentations, prepare reports, organize documents, maintain digital filing systems, and assist with day-to-day executive tasks.

Travel & Event Coordination: Arrange business travel, accommodations, itineraries, and assist with planning internal meetings or company events when required.

Project & Team Support: Help coordinate projects, communicate with internal departments, and keep executives informed of priorities, timelines, and deliverables.

Technical & Shift Requirements

Schedule: Full-time availability aligned with U.S. business hours (Midshift/Overlap).

Work Environment: A quiet, professional, distraction-free remote workspace.

Hardware: A reliable computer capable of handling multiple productivity applications simultaneously.

Connectivity: Fast, stable internet with a dependable backup connection.

Skillset: Strong proficiency in Google Workspace or Microsoft Office, calendar management, document preparation, and communication tools such as Slack, Microsoft Teams, Zoom, or similar collaboration platforms.
